Coach Terms

These additional terms apply if you list as a coach or personal trainer on Link2Coach. They sit alongside our general Terms & Conditions, which also apply to you.

1. Your relationship with us

You provide coaching as an independent self-employed professional or through your own business. Nothing here creates employment, partnership, agency or a joint venture between you and LINK2COACH LTD. You decide how, when and where you deliver your services, you set your own prices, and you contract directly with your clients. You are responsible for your own tax and National Insurance.

2. What you must hold and maintain

  • Recognised qualifications appropriate to the services you offer.
  • Valid public liability and professional indemnity insurance covering those services, kept in force for as long as your profile is live.
  • Any registration, licence or DBS check the law or your governing body requires for the work you do — in particular where you work with children or vulnerable adults. Holding these is your responsibility; we do not carry out DBS or identity checks for you.
  • The legal right to work and to trade in the United Kingdom, and to be at least 18 years old.

Tell us promptly if any of the above lapses, is refused or is withdrawn, or if you become subject to an investigation relevant to your practice.

3. Verification and what it means

Before your profile goes live we review the qualification and insurance information and documents you submit, along with your profile content. Your account starts as pending. We may approve it, ask for more information, or decline it. We may re-check at any time and may hide a profile while a check or a report is outstanding.

Documents you upload are stored privately. Only you and our review team can access them; clients never see them. We record the review decisions we make. When we show a profile as verified, we mean we have seen and accepted the qualification and insurance evidence submitted — not that we have verified your identity, run a criminal records check, or assessed the quality of your coaching.

4. Accuracy of your profile

Everything on your profile must be accurate and evidenced. Do not overstate qualifications, imply accreditation you do not hold, promise specific health, weight or performance outcomes, or use images and testimonials that are not yours to use.

5. Membership, pricing and trials

  • Regular Coach membership is £29.99 per month, with a 1-month free trial for new coaches.
  • Founding Coach membership is £24.99 per month, with a 2-month free trial. It is limited to the first 50 coaches to join, and the reduced rate continues for as long as your membership stays active without a break.
  • Founding Coaches also receive the Founding Coach badge on their profile. The badge and Founding status do not buy preferential ranking — search and matching results are based on relevance to the client.
  • Trials are one per coach account. If you cancel and later rejoin, you will not receive another free trial, and Founding pricing and the Founding badge are not guaranteed on rejoining.
  • Prices include VAT where VAT applies. We will tell you in writing before any price change takes effect.

6. Billing, cancellation and your right to cancel

Membership is billed monthly in advance by our payment provider, Stripe, using the payment method you provide. Where a free trial applies, no charge is taken until the trial ends. Membership renews automatically each month until you cancel.

  • You can cancel at any time through the billing portal in your coach settings. Cancelling stops future charges; your listing stays live until the end of the period you have paid for, or until the end of your trial.
  • If a payment fails, Stripe retries it. Your listing may be hidden while payment is outstanding, and membership ends if payment is not completed.
  • When membership ends, your profile is removed from search and matching. Your account and data remain, in a read-only state, so you can reactivate later without starting again.
  • Reactivating restarts billing at the price then advertised, with no new free trial.

As a consumer you normally have 14 days to cancel a new contract for a service. Because membership gives you access straight away, we ask you to confirm at checkout that you want it to start immediately and that, if you then cancel within the 14 days, we may charge you for the part of the service already provided. Cancelling during a free trial costs you nothing. Outside that, monthly fees already paid for a period you have used are not refundable, but we will always look at genuine problems — email hello@link2coach.co.uk.

7. Client payments and commission

We do not process payments between you and your clients and we take no commission from your coaching fees. You set your own prices, invoice your clients yourself and are responsible for your own terms, cancellation policy and refunds. Where you offer a paid consultation through the platform, the arrangement and the payment are still directly between you and the client.

8. Conduct and client safety

  • Treat clients and prospective clients professionally and respectfully, and do not discriminate.
  • Work within the limits of your competence and refer on where appropriate.
  • Screen clients for health considerations before physical training, and act on what you are told.
  • Keep client information confidential and handle it lawfully — where you hold client data yourself, outside the platform, you are the data controller for it.
  • Respond to enquiries within a reasonable time, and keep your availability accurate.

9. Reviews

Reviews are the client's own view. You may respond, and you may record private feedback about a client that is not published. You must not offer incentives for positive reviews, ask us to remove genuine criticism, or pressure a client over a review. We may remove a review that breaches our terms, and we may hide one while a report is being reviewed.

10. Suspension and removal

We may suspend or remove your profile where verification lapses or fails, where we receive a credible report of harm, where you breach these terms, or where we are required to by law. Where practical we will tell you why and give you a chance to respond. You can ask us to remove your profile and close your account at any time; we will cancel your membership at the same time.

11. Responsibility

You are responsible for the coaching you deliver and for complying with the law that applies to your practice. Link2Coach introduces clients to you; we do not supervise, direct or take responsibility for the services you provide. Our liability to you is limited as set out in our Terms & Conditions.
