Privacy Policy

This policy explains what personal information Link2Coach collects, why we use it, who we share it with, how long we keep it and the rights you have. It reflects how the platform actually works.

1. Who we are

Link2Coach is operated by LINK2COACH LTD, a company registered in England and Wales (company number 17334702), whose registered office is Flat 2 Bradwell House, 12 East Street, Havant, PO9 1AQ, United Kingdom.

We are the data controller for the personal information described in this policy. For anything to do with your information — including a request to see, correct or delete it — email hello@link2coach.co.uk. We have applied to the Information Commissioner's Office for registration under the data protection fee regime.

Link2Coach is for adults. You must be 18 or over to create an account or to join our launch list.

2. Information we collect

Everyone who signs up:

  • Email address and password (your password is stored only as a secure hash by our authentication provider — we never see it).
  • Your display name, and whether you signed up as a client or a coach.
  • The date, time, document version and wording of the terms and privacy notice you accepted.
  • Records of the emails and in-app notifications we have sent you, and your notification preferences.

Clients:

  • Your location as a postcode or area, your goals, experience level, preferred coaching style, availability and budget, so we can match you with coaches.
  • Optional information about additional needs, if you choose to share it. This can include information about a disability or health condition and is treated as special-category information (see section 4).
  • Coaches you save, compare or enquire about, and the messages you send and receive on the platform.
  • Consultation requests, bookings and their status.
  • Reviews you write about a coach.

Coaches:

  • Your public profile: name, photo, bio, specialisms, coaching styles, locations and areas covered, session formats, pricing and availability.
  • Qualification and insurance details, and any documents you upload to evidence them. These are stored privately and are never shown to clients.
  • Your verification status and our review decisions.
  • Messages, consultations, client notes you choose to record, reviews about you and any private feedback you give about a client.
  • Membership and billing records: your plan, trial and subscription status, renewal dates and the customer and subscription identifiers created by our payment provider.

Launch list: if you join our launch list, we collect your email address, your postcode, whether you are interested as a client or a coach, and whether you opted in to optional launch emails (including the time, wording and version of that opt-in).

Technical and security information: our hosting and database providers process standard server and security logs, which can include IP address, browser type and request details. We use these to keep the service running and to investigate abuse.

We do not collect payment card details. Card data is entered directly with our payment provider, Stripe, and never reaches our servers.

3. Why we use it, and our lawful basis

  • To create and run your account, and to provide the features you use — messaging, saved coaches, consultations, reviews and coach profiles. Basis: performance of our contract with you.
  • To match clients with coaches and to power search and discovery. Basis: performance of our contract with you.
  • To review coach qualifications and insurance and decide whether a profile can go live. Basis: performance of our contract with the coach, and our legitimate interest in a trustworthy platform.
  • To send service messages you need — account, verification, message, consultation, review and membership notifications. Basis: performance of our contract with you.
  • To take payment for coach membership and keep billing records. Basis: performance of our contract, and legal obligation for accounting records.
  • To keep the platform safe: moderating reviews and profiles, investigating reports, preventing fraud and abuse, and keeping audit logs of administrative actions. Basis: our legitimate interest in platform safety and integrity.
  • To send optional launch and marketing emails. Basis: your consent, which you can withdraw at any time.
  • To measure how the site is used through analytics. Basis: your consent.
  • To comply with the law and respond to lawful requests. Basis: legal obligation.

4. Information about health, disability and similar

The matching questionnaire lets you tell us about additional needs if you want to. This is optional — you can answer "no" or "prefer not to share" and still use every part of the service. Where you do share it, we rely on your explicit consent, we use it only to suggest coaches who may be a better fit, and we deliberately keep the free-text detail out of web addresses and links so it cannot be shared by accident.

If you go on to tell a coach about your health directly, in messages or in a consultation, that information sits in your conversation with that coach. Coaches are independent professionals and are responsible for how they handle information you give them outside the platform.

5. What other people can see

  • Coach profiles are public once approved and published, including any reviews and the overall rating.
  • Reviews are public and show the reviewer's first name or display name, not their email address or contact details.
  • When you enquire or book, the coach sees your name, your enquiry and the preferences you chose to include — not your account credentials.
  • Coach qualification and insurance documents are private to you and our review team. Clients never see them.
  • Private feedback a coach gives about a client is not shown to the client and is not published.

6. Who we share information with

We do not sell your personal information. We use a small number of service providers who process information on our behalf under contract:

  • Lovable and its cloud infrastructure — hosting the website, application backend, database, file storage and server logs.
  • Supabase — the managed database, authentication and file storage behind Lovable Cloud.
  • Stripe — payment processing and subscription billing for coach membership, and the billing portal. Stripe is a separate controller for its own fraud and compliance purposes.
  • Google — we send our service emails through a Google Workspace mailbox, and Google Sign-In is available as a way to log in.
  • Postcodes.io — we look up the town or district for a postcode you give us so we can route launch and area interest correctly.
  • PostHog (EU hosting) — product analytics, only if you accept analytics cookies.

We may also disclose information where we are legally required to, to establish or defend legal claims, or to protect the safety of users.

Some of these providers operate outside the UK. Where information is transferred outside the UK, it is protected by UK adequacy regulations or by the International Data Transfer Agreement or Addendum together with appropriate safeguards.

7. How long we keep it

We keep information for as long as you have an account with us, and afterwards only where we still need it:

  • Account and profile information: deleted or anonymised when your account is deleted.
  • Messages and consultation records: kept while either participant's account is active, because a conversation belongs to two people.
  • Reviews: a published review may remain visible after the reviewer's account is closed, shown without their personal details, so ratings stay honest. Tell us if you want yours removed and we will consider the request.
  • Coach qualification and insurance documents: kept while the profile is live and for a reasonable period afterwards so we can evidence the checks we made.
  • Membership, subscription and payment records: kept for at least six full financial years, as UK tax and accounting law requires.
  • Moderation reports and administrative audit logs: kept while needed to run the platform safely and to defend claims.
  • Launch list: kept until you unsubscribe or ask us to delete you, and reviewed once launch communications are complete.

We have not set a single fixed retention period for every record. Where no specific period is given above, we keep information only as long as we need it for the purpose we collected it for, and review it periodically.

8. Your rights

You have the right to access your information, to have inaccurate information corrected, to have information erased, to restrict or object to certain processing, to data portability, and to withdraw consent where we rely on it. In the product you can:

  • View and edit your account details and preferences in your account settings.
  • Change your notification preferences at any time.
  • Edit or remove a review you left, within 14 days of posting it.
  • Change or withdraw your analytics cookie choice on the Cookie Policy page.
  • Unsubscribe from optional launch emails using the link in those emails.
  • Delete your client account from your account settings. Coach accounts involve live listings, memberships and client relationships, so email us and we will close the listing and delete your account properly.

For anything not available in the product — including a copy of your information — email hello@link2coach.co.uk. We respond within one month. You can also complain to the Information Commissioner's Office at ico.org.uk, though we would like the chance to put things right first.

9. Security

Access to data is controlled at database level so that people can only reach their own records, coach documents sit in private storage, administrative actions are logged, and payment card details never touch our systems. No service can promise perfect security, so please use a strong, unique password.

10. Changes to this policy

We will update this page when our practices change and update the version and date shown at the top. If a change materially affects you we will tell you and, where the law requires it, ask for your consent again.
